Writing a clear request for quotation in Hong Kong

What buyers should include in an RFQ to receive more relevant, comparable supplier quotations.

Describe the outcome, not only the item

Explain what success looks like, where the work will happen, and any operational constraints. Suppliers quote more accurately when scope and context are visible.

  • Required deliverables and quantities
  • Site or service location
  • Preferred schedule and deadline
  • Budget range or pricing format

Make quotations comparable

Ask every supplier to use the same pricing structure and identify exclusions, lead times, and assumptions. This makes commercial review fairer and faster.

Set a realistic response window

Allow enough time for clarifications, site visits, and partner pricing. A rushed request often produces fewer and less dependable responses.
